KIKOBA Smart ("we", "us", "our") provides software that helps savings and lending groups
(vikoba) manage members, savings, loans, repayments, meetings, and group communications.
This Privacy Policy explains what information we collect, how we use it, and the choices you have.
It applies to our mobile app, web portal, and related services (together, the "Service").
1. Information we collect
Information you provide
Account data: full name, phone number, email address, password/PIN, and your role in a group.
Group & financial data: savings contributions, loan applications, repayments, balances,
meeting records, and announcements you create or that are recorded about you by your group leaders.
Payment data: the mobile-money phone number used for contributions, subscription, or member
fees. Payments are processed by our payment partner; we do not store full mobile-money credentials.
Support data: messages you send us for help or feedback.
Information collected automatically
Device & usage data: device model, operating system, app version, and a push
notification token used to deliver alerts.
Log data: basic technical logs (e.g. IP address, timestamps) used for security and reliability.
2. How we use your information
To create and manage your account and your group's records.
To process contributions, loans, repayments, and subscription or member fees.
To send transactional SMS, in-app, and push notifications (e.g. payment confirmations, loan reminders, meeting alerts).
To provide reports and statements to you and authorised group leaders.
To secure the Service, prevent fraud, and meet legal obligations.
To respond to your support requests and improve the Service.
3. How we share information
We do not sell your personal data. We share it only as needed to run the Service:
Within your group: authorised leaders (e.g. chairperson, treasurer) can see member savings,
loan, and repayment records as required to run the group.
Service providers: payment processors (mobile money), SMS delivery, push notification
(Google Firebase Cloud Messaging), and hosting providers, only to perform services for us.
Legal: when required by law, regulation, or valid legal request.
4. Data retention
We keep your information for as long as your account or group is active, and as needed to comply with legal,
accounting, or reporting obligations. You may request deletion of your account (see Section 7).
5. Security
We use encryption in transit, access controls, and role-based permissions to protect your data. No method of
transmission or storage is completely secure, but we work to protect your information against unauthorised access.
6. Children
The Service is intended for adults (18+) managing or participating in savings groups. We do not knowingly
collect data from children.
7. Your rights and choices
Access, correct, or update your account information in the app or portal.
Request a copy or deletion of your personal data by contacting us.
Turn off push notifications in your device settings.
We may update this Privacy Policy from time to time. We will post the new version here and update the "Last
updated" date. Continued use of the Service after changes means you accept the updated policy.

3. Jinsi tunavyoshiriki taarifa
Hatuuzi taarifa zako binafsi. Tunazishiriki tu pale inapohitajika kuendesha Huduma:
Ndani ya kikundi chako: viongozi walioidhinishwa (mfano mwenyekiti, mweka hazina) wanaweza
kuona kumbukumbu za akiba, mikopo, na marejesho ya wanachama kama inavyohitajika kuendesha kikundi.
Watoa huduma: wachakataji malipo (pesa za mtandao), watoa huduma za SMS, arifa za push
(Google Firebase Cloud Messaging), na watoa huduma za seva, kwa ajili ya kutuhudumia tu.
Kisheria: pale inapohitajika na sheria, kanuni, au ombi halali la kisheria.
4. Uhifadhi wa taarifa
Tunahifadhi taarifa zako kwa muda akaunti au kikundi chako kinapokuwa hai, na kama inavyohitajika kutimiza
wajibu wa kisheria au uhasibu. Unaweza kuomba kufutwa kwa akaunti yako (ona Sehemu ya 7).
5. Usalama
Tunatumia usimbaji wakati wa usafirishaji, udhibiti wa ufikiaji, na ruhusa kulingana na nafasi kulinda
taarifa zako. Hakuna njia ya usafirishaji au uhifadhi iliyo salama kabisa, lakini tunafanya kazi kulinda taarifa zako.
6. Watoto
Huduma imekusudiwa kwa watu wazima (miaka 18+) wanaosimamia au kushiriki kwenye vikundi vya akiba.
Hatukusanyi taarifa za watoto kwa makusudi.
7. Haki na chaguo zako
Fikia, sahihisha, au sasisha taarifa za akaunti yako kwenye programu au portal.
Omba nakala au kufutwa kwa taarifa zako binafsi kwa kuwasiliana nasi.
Zima arifa za push kwenye mipangilio ya kifaa chako.
